Quote, estimate or invoice?

A quote is a fixed price you're offering for the job. An estimate is your best guess, and the final price can change. An invoice comes after the work and asks to be paid. Many businesses send a quote, get a yes, then send an invoice for the same items.

What to put on a quote in the US

Your business and customer details, a quote number and date, a line for each part of the job, the total, any Sales tax, how long the price stands, and what's not included. Clear terms stop arguments later.

Sales tax on quotes

There's no national sales tax in the US. Sales tax is set by each state (and sometimes city or county), and a handful of states have none at all. Many services, including a lot of freelance work, aren't taxed, while physical goods usually are. If your state requires you to collect sales tax, add the rate here; otherwise leave it at 0. Check your state's rules.

FAQ

Questions people ask

Is it free?

Yes, with no sign-up. Download as many quotes as you need.

How long should a quote be valid?

Commonly 14 to 30 days. If your material costs move a lot, use a shorter period.

Can I turn the quote into an invoice?

Yes. Switch to the invoice generator with the same details, or do it in one tap in Gripd, which also tracks whether it's been paid.

Should my quote include Sales tax?

Only if you're registered for it. If you are, show it separately so the customer knows the full price.
